Business Rules:

Invoice number status will be updated as Created.

Once the invoice has been generated, the same charges should not appear again while making another invoice.

When making invoice, charges and other details will be fetched based on the Service order number.

Once saved, program will display the INVOICE number in the screen as shown below.

Once the document number is generated, if the user selects OK button, Online invoice report will be generated.

Document number will be based on the Invoice Mode selected in header section.

i.Proforma Invoice

ii.Actual Invoice

iii.Credit Note (To be generated by auto if user need to calculate for negative amount)

All the three should follow different number series.

Invoice party selected against each charge should have a check in the system. If the invoice party is a Credit customer (Credit details updated against the invoice party of a particular charge), then the final limit of the party has to be checked.

 

Example:

For a particular Business Partner (SA Logistics), in Credit details final limit updated as 4590 USD (as like above) in Business Partner master. With this party, user has already invoiced for 4500 USD (For old Orders).

Now, if user wants to invoice for 100 USD for an order with the same Business Partner, then system should raise a stop message as below:

Since the credit limit exceeds the current invoice amount. Credit Limit exceeded for the selected customer. Cannot proceed further.

For a particular order/SO number, if Proforma Invoice is done, and if user proceeds with Actual invoice for the same order/SO number, then message to be raised as below.

Proforma Invoice is pending for the selected Order. Please cancel the proforma or convert the proforma to actual invoice.

 

STATUS CHANGE:

Once document is created, document will be available in workbench and user can edit and change the Status and Reference alone. All other fields are non-editable.

 

INVOICE PROGRAM (EDIT MODE)

Search grid will not be visible and also select all (select button) icon should not be visible. All other fields will be displayed.

If suppose one invoice is raised for ten orders and we select edit option from the workbench, all the Order/BL’s should be listed.

View button to be placed at the end of each Service Order / BL’s such that when the button is selected, summary of charges invoiced should be displayed.

View Next Order button should be available which when selected should list out all the charges of the next order number.

Order Number LOV should allow to select the orders for viewing data.

In edit mode, if equipment charge calculation needed to be viewed, then button should be provided at the end of the charge which when selected should display the calculation summary of that particular entry.

 

REVERSAL/CANCEL

If the selected document is Canceled or Reversed, then a message will popup to enter the remarks.

If a document is in Created status, then user can directly cancel the document by entering the remarks.

Once the document is in Created status, next possible status to list are:

i.Posted

ii.Canceled

If document is in posted status, then next possible status to list is “Reversal”. Remarks should be entered if user want to reverse the document.

Once the document is canceled/reversed, then the charges should be fetched again for invoicing.
